Estimating the size of a microfilm project
Separate the collection into similar styles and sizes: Books (or volumes)
and/or Boxes of records.
Decide which method of filming works best for the collection: 35mm or 16mm.
- 650 exposures available one roll of 35mm film
- 2,400 exposures available on one roll of 16mm film.
-The maximum size document possible for 16mm is 12 ½ by 17 1/4.
Boxes
The contents of a standard records storage box equals about 1 roll of microfilm.
Pick the largest (or fullest) box, count the pages, & use the total as the
average for calculation. The estimate will then be higher than the actual total, but it is
always better to estimate high for funding than to run out before the project is complete.
Example:
- You have 20 boxes of records to be filmed on 16mm microfilm.
The largest box has approximately 2,500 pages.
20 boxes x 2,500 pages = 50,000 exposures
- Multiply this amount by 25% to allow for targets, any possible reshoots, and spacing.
50,000 exposures x 25% = 12,500
50,000 exposures + 12,500 = 62,500 total exposures
- Take the total exposure amount and divide it by the number of exposures per roll
62,500 total exposures/ 2,400 exposures per 16mm roll = 26.04 rolls of microfilm
- Your project will require 27 rolls of 16mm microfilm.
Books
Books can be very easy to estimate, as most of them will have page numbers.
Take the largest volume and note the number of pages.
Stop at the last page of print, if the entire volume is not filled.
Note: With the volume open in front of you, if the right and left pages are numbered
individually take the total number of pages and divide by 2.
Each exposure of a volume will include both pages, therefore cutting the total in half.
Example:
- 25 volumes of records, with the largest having 350 pages.
25 X 350 = 8,750 exposures
- Next, multiply this amount by 25% to allow for targets, any possible reshoots, and spacing.
8,750 exposures X 25% = 2,187.5 (rounding up=2,188)
8,750 exposures + 2,188 = 10,938 total exposures
- Take the total exposure amount and divide it by the number of exposures per roll
10,938 total exposures / 650 expososures per 35mm roll = 16.82 rolls of microfilm
- Your project will require 17 rolls of 35mm microfilm.
